How to switch field service software without losing data (or sleep)

The number one reason owners stay on software they’ve outgrown isn’t loyalty — it’s fear of the switch. “What if we lose customer history? What if recurring billing breaks?” Valid concerns, and all avoidable. A clean migration is mostly about sequence, not luck.

What you’re actually moving

  • Customers & properties — names, addresses, contacts, service locations
  • Service history & notes — past jobs, photos, documents
  • Recurring plans — frequencies, pricing, next service dates
  • Open balances — invoices and credits, so nobody gets double-billed
  • Payment methods — usually re-collected or securely transferred via your processor

A safe migration sequence

  1. Export everything from your old system while you still have access — full CSVs of customers, properties, and open invoices.
  2. Import customers and properties first, and reconcile the count before touching anything financial.
  3. Recreate recurring service plans with correct next-service dates so the calendar picks up right where you left off.
  4. Bring over open balances as opening invoices/credits — never re-bill history.
  5. Run both systems in parallel for one billing cycle. Cut over fully only once a full cycle reconciles.
  6. Train the office before the field. Dispatchers and CSRs set the pace.
