Per-seat vs. per-route pricing: which is cheaper for field service software?

June 8, 2026 · WebWork

When you shop for field service software, the sticker price is rarely the real price. What matters is how the price grows as you do — and that comes down to the billing model. The two you’ll see most are per-seat (per user) and per-route (per technician schedule). They diverge fast.

Per-seat pricing

You pay for every login: technicians, dispatchers, office admins, the owner. It’s simple, but it punishes the exact thing healthy businesses do — add people. Your bookkeeper, your CSR, your scheduler: each one is another monthly charge, even though they never touch a truck.

Per-route pricing

You pay per route — effectively per working technician schedule — and office users come free. Your cost tracks the thing that actually drives revenue (jobs in the field), not headcount in the office.

The math, with real numbers

Say you run 10 technicians and have 4 office staff (owner, dispatcher, two CSRs).

  • Per-seat at $40/user: 14 users × $40 = $560/mo
  • Per-route (WebWork Pro at 10 routes): $479/mo — and those 4 office users are free.

Now grow to 20 office-supported field techs. Per-seat keeps charging for every new admin you hire to keep up. Per-route doesn’t. And with WebWork, the per-route rate itself drops at volume — so the gap widens the bigger you get.

What to actually compare

  1. Who counts as a billable user? Office staff free, or not?
  2. Does the per-unit price drop at volume, or stay flat forever?
  3. Contracts and setup fees — month-to-month beats locked-in.
